How Codex verifies coaches and studios

Codex ranks every wellness practitioner on a three-tier trust system — crawled, claimed, verified. Verification is independent of any paid plan; you cannot buy a verified badge. This page explains the criteria and the process.

The three trust tiers

Crawled

Profile built from public sources — directory listings, the practitioner's own site, public registries. The practitioner has not yet taken ownership. We treat the data as informational and never publish bookings to a crawled-only profile.

Claimed

The practitioner has signed in, confirmed identity by email, and updated basic profile facts (headline, disciplines, training location, rates). Bookings and messaging are enabled. Reviews are public.

Verified

We have reviewed credential documents (training certificates, professional licence numbers where applicable, public liability insurance for in-person work). The Verified badge displays on listings, search results, and best-of pages.

The verification process

  1. Practitioner claims the profile (or applies fresh) and uploads scans of certifications.
  2. Codex trust team cross-checks each certification against the issuing body's public registry.
  3. Clinical roles (psychology, physio, nutrition) additionally have their professional registration confirmed.
  4. For in-person work, public liability insurance is sighted and the expiry date is logged.
  5. Once complete, trust tier moves to Verified and the practitioner is notified.
  6. Annual re-checks: registration status and insurance expiry trigger automatic re-review.

Editorial independence

Codex sells paid profile plans (Starter, Pro, Studio) that grant visibility features like priority placement in directory listings and enhanced media on profiles. These plans are clearly disclosed. Paid plans do not grant trust-tier upgrades, best-of placements, or override review ratings.

What is the Codex trust tier system?
Codex ranks every coach and studio in one of three trust tiers: crawled (built from public sources, not yet owned by the practitioner), claimed (the practitioner has taken ownership of the profile and confirmed basic facts), and verified (we have reviewed credentials, identity and insurance documents).
How do you verify credentials?
We collect copies of certifications from the issuing body (e.g. RYT, SE, Polestar, PMA, BPS, HCPC, EREPS, NSCA, REPs). We cross-check the certification number on the issuing body's public registry where one exists. For clinical roles we additionally check professional licence registration.
How long does verification take?
Most practitioners are verified within 2–3 business days from the time complete documents are uploaded. Clinical roles (physio, psychology) can take up to 7 days because we manually confirm registration.
Can a practitioner pay to be verified?
No. Verification is independent of paid placement. Codex sells paid profile plans that grant visibility features, but never trust tier upgrades.
What happens if a practitioner loses their certification?
Verified status is revoked and the profile is downgraded to claimed. We re-check registrations annually and on any user-flagged report.
Can users report a profile?
Yes — every profile has a Report button. Reports are reviewed within 2 business days; substantiated reports trigger immediate downgrade or removal pending appeal.
